Support position within a PMO organization to provide support and assistance to the PMO staff via reporting, scheduling, facilitation, and communication



  • Coordinate and manage all intake requests for the division.
    • Ensure forms are completed
    • Ensure all documentation is provided
    • Obtain relevant approvals
    • Submit and Track requests for completion through intake team
  • Project list management
    • Ensure project list is kept up to date with accurate information
    • Create ad hoc and scheduled reporting for projects
    • Create metrics as needed for projects
  • Facilitate status reporting
    • Gather and compile status reporting information from PM’s
    • Create bi-weekly and monthly status reporting
  • Assist PM in facilitation of project meetings, updating agenda, and publishing minutes.
  • Modify schedules as directed and notify project managers of any variances, exceptions and unplanned events
  • Assist PM with change control management
  • Deliver effective, accurate and consistent verbal and written communication to project managers, project teams, management, external clients and vendors

  • Train/Orient new project managers to the process utilized by the division for processing and driving projects.
  • Act as a point of contact for the internal resources and coordinate resources in managing stakeholder needs.
  • Set reasonable expectations for work delivery through a consultative approach.
  • Working knowledge of project management fundamentals and business planning
  • Experience with project management tools







  • Minimum 3 years experience in project coordination
  • Must have excellent verbal, written, planning and organization skills
  • Ability to work across all areas and all levels of CO-OP Network, as well as our vendors
  • Proficient in Word, Excel, and PowerPoint
  • Problem solving skills
  • Facilitation skills
  • Ability to work under minimal supervision, managing multiple projects simultaneously with delivery for all defined milestones and tasks
  • Occasional travel is required
