  • Overview

    CO-OP Financial Services provides technically superior products and services to financial institutions across the nation. We are seeking a talented Supervisor of Administration to be responsible for providing administrative assistance support to Executive Managers and supervise CO-OP’s pool of Executive Administrators and Administrative Assistants by delegating daily functions, overview of processes, disturbing workload, recommending process improvements and the resolution of escalated issues.    




    • Supports other Executive Assistants and Administrative Assistants in a supervisory capacity.
    • Monitor employee productivity.
    • Acting as first point of escalation for and about team members.
    • Maintain timekeeping and personnel records.
    • Pass on key information from upper management to employees and vice versa.
    • Coordinates the Executive Managers calendars and independently schedules appointments.
    • Screens correspondence and responds independently when necessary. Routes correspondence or action items to appropriate senior staff and requests action/information on behalf of the Executive Managers. Initiates follow-up to ensure item was handled if a reply or specific action is requested.
    • Makes detailed travel arrangements and itineraries for the Executive Managers including air travel, ground transportation and lodging. Prepares and submits all expense reports for the Executive Managers. Responsible for completing monthly variance reports.
    • Prepares presentations for Executive Managers.
    • Arranges programs, events, or meetings by arranging for facilities and catering, issuing information and controlling event budget.
    • Prepares and maintains correspondences and documents as it relates to committees and meetings the Executive Managers oversee.
    • Takes and transcribes minutes, and composes and prepares confidential correspondences, reports, and other complex documents. Acts as the custodian of corporate documents and records.
    • Anticipates needs of Executive Managers and acts accordingly.
    • Coordinates Executive Managers’ activities with Senior Leadership team.
    • Coordinates with clients’ as required to support escalations, visits, conference support, etc.
    • Must react to change productively and handle other essential tasks as assigned.
    • Regular attendance and punctuality as a full time employee in order to daily exercise all of the essential functions.
    • Other duties as assigned.

    • Business Administration degree desired; Associates degree required
    • A minimum of five years’ experience as Executive Administrator required
    • Excellent verbal and written communication skills necessary, to comprehend and compile communication on behalf of the Executive Managers.
    • Strong organization skills required to successfully perform in a multitask environment.
    • Must have the ability to handle highly sensitive information in a confidential manner.
    • Must have the ability to work independently with little or no supervision.
    • Travel is required to attend off-site committee meetings and events.
    • Expert in Microsoft application suite, including but not limited to, Office, Excel, Word, and PowerPoint.
