  • Overview

    CO-OP Financial Services provides technically superior products and services to financial institutions across the nation. We are seeking a talented Vendor Coordinator to provide program support to the Enterprise Risk Management department, specifically the Vendor Risk Management, Procurement, Compliance, and Disaster Recovery/Business Continuity Programs. Primary role is the administration and coordination of the vendor contract renewals, client and vendor due diligence, and emergency notification tool. This role will ensure all aspects of the client and vendor contracts, are complete for proper execution and safekeeping, via the organization’s scanning tool. 




    • Proactively identify vendor contract renewal/termination time-frames, notify the business owner in advance to determine course of action, while limiting fees; and conduct due diligence/exit procedures based on the business decision.
    • Facilitate due diligence process and serve as the functional bridge between external customers/vendors and internal stakeholders.
    • Facilitate the vendor contract administration process to/from internal counsel, internal stakeholders, and vendors.
    • Coordinate execution of counter signatures of all legal documents. This includes facilitating appropriate approvals, coordinating with senior management, and updating involved stakeholders as needed.
    • Ensure all required contracts are on file and have undergone proper legal and compliance reviews, and facilitate proper legal and compliance reviews, if necessary.
    • Maintain contract administration process in contract repository.
    • Organize due diligence artifacts in repository
    • Serve as liaison between CO-OP SME’s and credit union clients/vendors, as needed.
    • Scan, organize, and file executed client and vendor contracts, and other legal documents.
    • Administer enterprise-wide emergency notification tool, including appropriate upkeep of users to ensure access to Disaster Recovery, Business Continuity, and Incident Response Plans.
    • Support ERM department functions, as needed.

    • Associate Degree (AA) from a two year college; or a minimum of five years professional administrative support experience in business environment; or a combination of education and experience.
    • Excellent verbal and written communication skills.
    • Critical thinking and ability to understand/ask questions for complex scopes.
    • Ability to read and understand basic contracts.
    • Effective interpersonal skills, and ability to convey complex information in a way that others can readily follow.
    • Excellent planning and organizational skills, as well as ability to prioritize workload using good judgment, while balancing the need for an immediate response with accuracy and completeness of information.
    • Ability to build strong relationships with stakeholders at all levels, internally and externally.
    • Detail-oriented with strong problem solving skills and the ability to identify, analyze, and resolve problems, driving solutions to completion.
    • Ability to work under minimal supervision and manage multiple tasks/projects simultaneously, while meeting demanding deadlines.
